TRADE FAIR REGULATIONS

1. General Provisions.

  1. The regulations apply to Exhibitors of the International Security and Defense Fair LOGIS–MIL organized by the Association of Suppliers for Uniformed Services based in Bydgoszcz and the company LOGIS-MIL.
  2. The terms used in these Regulations mean:
    • Organizer – Association of Suppliers for Uniformed Services,
    • Fair – International Security and Defense Fair LOGIS-MIL 2026 and OC-EXPO Fair,
    • Registration System – a set of forms available at https://logis-mil.com/rezerwacja together with an interactive map, used to select the stand location, the type of stand construction and other components of the order.
    • Participation Application – an application submitted via the Registration System, which every Exhibitor participating in the Fair is required to complete.

2. Conditions of participation.

  1. The Exhibitor is obliged to familiarize themselves with and comply with the requirements of these Regulations.
  2. The Exhibitor acquires the right to participate in the Fair after submitting the Participation Application and making all payments for participation in the Fair in the amounts and within the deadlines specified in the VAT invoices issued by the Organizer, based on the order placed in the Registration System.
  3. The Exhibitor reserves the right to change prices in the Registration System at any time without prior notice, while maintaining the price for Participation Applications already submitted in the Registration System. At the same time, the Exhibitor may grant selected entities individual discounts based on separate arrangements.
  4. The order of receipt of Participation Applications determines the acceptance of the participation application in the Fair and the stand location. In the event that the Participation Application is not accepted, the Organizer shall return the amount paid by the Exhibitor, if such payment has already been made.
  5. The fee for renting exhibition space includes: equipment according to the ordered requirements, preparation, maintenance and dismantling of the stand, the cost of consumed electricity, cleaning of fair communication routes, waste disposal, and securing the facility at night.
  6. The rented stand is intended for the Exhibitor and their registered Co-exhibitors. Co-exhibitors must be reported to the Organizer at the time of registration.
  7. Subletting the stand by the Exhibitor may take place only with the consent of the Organizer.
  8. The registration fee for a Co-exhibitor is PLN 800.

3. Payment Terms.

  1. The Exhibitor makes the payment to the Organizer's bank account specified in the Participation Form and within the indicated deadline.
  2. In the case of the Exhibitor withdrawing from participation in the Fair less than 21 days before its start, the payment made is non-refundable. Withdrawal from participation requires a written/email form. The date of cancellation of participation in the Fair is considered the date of receipt of the appropriate letter by the Organizer.

4. Stands and Exhibits.

  1. The location of the stand is determined by the design of the exhibition space and the organizational and technical conditions of the exhibition grounds.
  2. The Organizer assigns the Exhibitor the space and determines the stand location according to the reservation made.
  3. The Organizer reserves the right to change the location of the Exhibitor’s stand before the Fair to another one with parameters consistent with the order and will inform the Exhibitor about it.
  4. The Exhibitor is obliged to mark exhibits displayed in the open area of the Fair. The Organizer reserves the right to refuse the display of exhibits that are dangerous and pose a threat to health or life, as well as those that contain illegal software or in any way are associated with illegal sources.
  5. Repair of equipment or changes to the stand arrangement may be carried out outside the Fair opening hours with the consent of the Organizer.

5. Stand construction and dismantling.

  1. If a Basic or Standard type stand is selected in the Registration System, the Organizer provides standard stand construction using 2.5 m / 3 m walls together with the equipment specified in the description of the selected stand type in the Registration System.
  2. The visual arrangement of the stand is prepared by the Exhibitor on their own and in a way that does not interfere with the construction walls.
  3. The construction and dismantling of the stand using Exhibitor’s elements is at the Exhibitor's cost and risk.
  4. The Exhibitor is fully responsible for any damage caused by the operation of their own construction and equipment on their stand during the preparation, duration, and dismantling of the stand.
  5. The Organizer reserves the right to use the external walls of the stand not utilized by the Exhibitor.
  6. For Exhibitors constructing their own stands, the exhibition area will be open two days before the Fair opening from 8:00 AM.
  7. The stand must be ready at least 2 hours before the official opening of the Fair.
  8. Dismantling the exhibit and removing items before the official closing time of the Fair is prohibited.
  9. The Organizer accepts the stand from the Exhibitor through a handover protocol.
  10. The dismantling of the Exhibitor’s exhibit must be completed by 3:00 PM on the day after the Fair concludes. The Exhibitor loses the right to any claims for exhibits and materials not collected by the designated deadline. The Exhibitor hands over the stand with equipment based on the handover protocol. The Exhibitor is obliged to restore the occupied exhibition space to its original condition.

6. Order Regulations.

  1. The Exhibitor is required to comply with the instructions issued by the Organizer.
  2. Opening and closing hours of the Fair for Exhibitors:
    • before the Fair according to separate arrangements,
    • during the Fair from 8:00 AM to 8:00 PM,
    • after the Fair according to separate arrangements.
  3. Entry to the exhibition grounds during the Fair, preparation, and dismantling is authorized for the Exhibitor through an identification badge issued based on the Participation Form.
  4. During the Fair opening hours, stands must be accessible to visitors. Periodic closure of the stand requires prior consent from the Organizer.
  5. Exhibits cannot be placed in communication and evacuation corridors adjacent to the stand, and demonstrations must not obstruct or hinder safe movement for exhibitors and the public.

7. Insurance and Security.

  1. The Exhibitor is required to insure against civil liability arising from participation in the Fair, as well as to insure their exhibits.
  2. The Organizer is not responsible for accidents and damages to exhibits on the exhibition grounds before, after, and during the Fair.
  3. The Organizer is not liable for damage caused by theft, fire, wind, lightning, explosion, flooding, power or water interruptions, or other unforeseen events. This also applies after the Fair has concluded if exhibits, equipment, and other goods remain on the exhibition grounds.
  4. The Exhibitor is obliged to immediately report to the Organizer and Security any damage that has occurred, any situation threatening their exhibition display, and any threat to the health or life of third parties.
  5. The Organizer provides security for the exhibition grounds from the closing of the Fair until its opening on the following day. Any concerns about the condition of the stand must be reported before the Fair opens.
  6. The Exhibitor must make all rooms available to the Organizer for fire safety checks.
  7. The Organizer reserves the right to cancel, shorten, reschedule, or partially close the Fair in cases beyond their control (force majeure). In such cases, the Exhibitor is not entitled to a refund or compensation.
  8. In the event of the Fair being canceled due to the Organizer's fault, the Exhibitor is entitled to a refund of the paid amount for the exhibition space.
  9. For any missing equipment (loss or damage), the Exhibitor will be charged the current price for the missing or damaged equipment, plus handling costs.

8. Fire Safety.

  1. Electrical work may only be performed by an electrician authorized by the Organizer, and the electrical installation must undergo technical inspection.
  2. Power supply: 230/380V. As protection against electric shock, a quick-switching system compliant with the PN-IEC-60364 standard is required.
  3. The following is prohibited on the exhibition grounds:
    • smoking tobacco except in designated areas,
    • using open flames,
    • using gas heaters and stoves,
    • using makeshift electrical installations,
    • leaving any electrical devices plugged into the network unattended if not designed for continuous use,
    • bringing hazardous chemicals onto the fairgrounds,
    • obstructing access to firefighting equipment, exits, and emergency evacuation routes,
    • using firefighting equipment for purposes other than fire safety.

9. Advertising and Fair Catalog.

  1. The Exhibitor has the right to advertise their goods exclusively at their own stand, provided that it does not disrupt the normal operations of other participants.
  2. Advertising outside the Exhibitor’s stand requires the consent of the Organizer and may be carried out exclusively through the Organizer and requires prior individual arrangements with the Organizer.
  3. Each Exhibitor is obliged to prepare basic information about the company and send it together with the logo to the Organizer in order to include it in the Fair Catalogue in digital form published on the website logis-mil.com.

10. Complaints and claims.

  1. Complaints submitted by Exhibitors must be reported to the Organizer in writing within 3 days from the date of the end of the Fair. After this period, complaints will not be considered.
  2. Oral agreements between the Exhibitor and the Organizer as well as all decisions and statements require, under pain of invalidity, written or e-mail confirmation.

11. Fees for participation in the Fair and additional services.

  1. As part of the Exhibitor registration fee, the following are included: a free catalogue entry, 2 "Exhibitor" badges, one parking pass, 30 invitations for guests, and two invitations to the fair banquet.
  2. As part of the Co-exhibitor registration fee, the following are included: a free catalogue entry, 1 "Exhibitor" badge, one parking pass, 10 invitations for guests, and one invitation to the fair banquet.
  3. All additional services and orders will be carried out based on a request submitted through the Registration System.

12. Rules for entry and access to the Fair grounds.

  1. During the Fair, "Exhibitor" badges authorize multiple entries to the exhibition area. They are valid from 2 hours before the start of the Fair until 2 hours after the end of the event.
  2. "Exhibitor" identification badges may not be transferred to third parties.
  3. Entry of vehicles to the exhibition area is allowed after receiving a parking pass at the Fair registration point. The parking pass must be completed and placed in a visible location behind the front windshield of the vehicle.
  4. The parking pass entitles the vehicle to remain in the parking areas belonging to the Fair from 2 hours before the start until 2 hours after the end of the Fair.
  5. In addition to the "Exhibitor" badges, the following also authorize entry to the Fair during its duration:
    • "VIP" badge,
    • "Press" badge,
    • "Organizer" badge,
    • invitations.
  6. Printed invitations and electronic tickets obtained through registration as a Participant on the website logis-mil.com authorize entry to the Fair grounds. Tickets will be verified each time before entering the exhibition halls.
  7. The exhibition hall is closed and sealed by security after it has been left by the Exhibitors and the cleaning staff in the presence of the exhibition hall manager or the security manager.
  8. The exhibition hall and the outdoor areas are monitored and protected 24 hours a day.

13. Final provisions.

  1. Exhibitors are obliged to comply with the provisions of these Fair Regulations.
  2. Exhibitors who do not comply with these Regulations bear full personal responsibility. Matters not covered by these Regulations will be resolved in accordance with the provisions of the Civil Code.
  3. Disputes will be settled by the court having jurisdiction over the registered office of the Fair Organizer.
  4. The provisions of these Regulations apply to Exhibitors from the moment the Participation Application is submitted to the Organizer.
